Practicalities

Schedule

  • Friday 27th of March 2020
    • Bus from Tampere railway station at noon.
    • Briefs and workshops will be held between 2 PM and 6 PM.
    • Game will start on Friday evening around 7 PM.
  • Saturday 28th of March 2020
    • Game will end on Saturday evening around 9 PM.
    • Debriefing and after party with sauna during the evening.
  • Sunday 29th of March 2020
    • Bus back to Tampere railway station will leave at 2 PM.

Sign-up

Sign-up opens up on 18.11.2019 and will end on 30.11.2019. 

Once the sign-up period has ended, there is a flagging process. After the flagging is done, we will perform the casting of players.

Casting will be done anonymously based on anonymized sign-up data and information provided by the potential player. Based on the information we have received, we will search most suitable players for each character.

Game fee

The game budget is planned to be non-profit. Any surplus goes to larp community workspace hosted by the Helsinki-based larp organisation Illusia ry.

Participation fee 110 € includes

  • Bus ride to the location and back from Tampere city centre
  • The larp experience with fully pre-written characters
  • Food for the weekend
  • Some props

Payment deadline for game fee is on the 31st of January 2020 if you will pay the full fee at once. If you wish to pay in installments, the first 50 € is due on the 31st of January and second installment of 60 € is due on the 29th of February 2020.

We are able to offer 4 spots for the reduced price of 60 €. You can apply for the discount in the sign up form. If there are more than four applicants, the recipients will be chosen anonymously during the casting.

You may also sponsor our event by purchasing a sponsor ticket for 150 € in return for our eternal gratitude. The funds from the sponsor tickets will be put towards the game in the form of a more generous catering and props.

Game fee (except the sponsor part 40 € in case of sponsor ticket) will be returned fully if the participation is cancelled by the 31st of January 2020. If you have to cancel your participation after January 31st, you can get a refund of maximum 60 €. However, if you are paying in installments, the first batch is non-refundable after January 31st. After the 29th of February no refunds are possible.

Please be aware, that you can not transfer your place to someone else. All replacements are handled by organization team.

Game location

We will organize a bus from Tampere to Vahojärvi and back, the price of which is included in the game fee. You can also take a car by yourself, however, you will not be compensated for not taking the bus.

Age limit

The event has an age limit of 18 years.

Accessibility

Physical location

The game will be played on the ground floor of the main building which is fairly accessible. There are accessible bathroom facilities and the indoor areas do not have any steps or doorsteps you need to pass over. The game area will for the most part be well lit with the exception of the first hour that will be played in a dimly lit room, however you will not be required to move around during this time. The in-game area is small and some rooms can get crowded from time to time.

Game content

  • Doesn’t require physical mobility
  • Has audio features of which in-game printouts will be provided
  • Doesn’t have any planned loud sound effects
  • Has some blinking lights in specific locations

Pronouns

Once players arrive at the location, everybody will be addressed with the “they/them” pronoun. The main reason for this is for the players to get accustomed to using and reacting to the gender neutral pronoun before the game. If someone accidentally says “he/him” or “she/her”, one should correct them by saying “Pronoun” which will remind everyone to use the correct pronoun.

In-game Tainted ones are referred as “it/those”.

After the game, players will get a name tag with their off-game name on which they can also indicate their own preferred pronouns.

Food

We will be serving nutritious vegetarian food and we will do our best to take into account special dietary needs. There will be separate questionnaire about dietary needs.

Accommodation

Friday-Saturday night is in-game. During the night, there aren’t any planned game events and the main sleeping area is silent, to allow players close to 8 hours of sleep. Players who wish to play during the night can do so as long as they do not disturb the ones wishing to sleep.

The in-game sleeping will take place on mattresses laid on the floor of one large room. If you do not wish to sleep in-game on the floor, please inform the organizers and we will arrange a bed for you in the off-game area. If you are an extremely light sleeper or you know that you snore loudly, it is recommended to sleep off-game.

Players will sleep the off-game night on Saturday-Sunday in bunk beds in dorm rooms of 6-8 people.

Pillows, blankets, and mattresses are provided by organizers.

Packing list

  • Warm woolen socks or indoor shoes recommended
  • Ear plugs and sleep mask
  • Your character’s props for day-time and sleeping
  • Hygiene supplies and any personal medications
  • You can have small bag in-game where you pack also your off-game medication or other off-game items you wish to have with you
  • Character sheet and briefing material either printed or saved on your mobile device

Sauna and showers

On Saturday we will warm up the sauna. There will be shifts for non-males, non-females, and a mixed sauna. It is OK to go to sauna nude, but if you wish, you can also use towel inside the sauna.

There are also showers at the main building which can be used any time.

Player safety and safety room

Everyone should familiarize themselves with our Code of Conduct and rules for safety before signing up to the game.

We will have support people at your disposal before the game, during it, and for some days after the larp. The player safety team is there for everybody and everything. For example, if you have a problem with your safety, if someone harasses you, if you feel not okay for any reason, or if you just need to talk to someone, you can contact the safety team. The safety team can take action depending on what is needed. They will listen to you, help you, and when needed and asked, escalate your case to the game masters or off-game authorities. 

There will be a safety room at the game site where you can retire should you need a breather.

First aid kit will be located in the safety room.

Documenting the larp

There will be a photographer documenting the event. All pictures will first be published for the players to preview for a week. During this week, the pictures are under quarantine and nobody is allowed to download or publish the pictures, not even for private use. During the quarantine week, you can ask for any picture of you to be taken down, no questions asked. After the quarantine has been lifted, the pictures will be made public. It is possible to notify the photographer before the larp begin if you do not want to be in any photographs. 

The game masters will monitor the game via video cameras. These streams can also be recorded. The same quarantine practice utilised for photos will also be applied to any video material recorded in the game.

Published photos and videos might be used in marketing of any future reruns, promote larping, and as reference materials to any related talks, reports, and so on.

Cleaning up the location

All participants will also assist with cleaning up the location. Most of the props will be cleaned up and packed on Saturday evening after the game. Rest will be cleaned on on Sunday morning. Also people at the kitchen will need help with the dishes.
